Good to know

A CSV file is plain text: one line per row, with the cells separated by a comma or another character. It holds the values of one sheet and nothing else, so it is easy for other programs to import. An Excel workbook can hold many sheets, formulas and formatting.

Excel to CSV

  • You choose which worksheet to convert; a CSV file holds one sheet, so the other sheets are left out.
  • Formulas are never run. The CSV gets the result Excel saved with the file; formulas that were never calculated come out empty.
  • Dates are written as YYYY-MM-DD (times as HH:MM:SS) so every program reads them the same way. Other numbers are written as stored, without display formats: 25% becomes 0.25.
  • Formatting, colours, column widths, merged cells, charts, images and comments are not kept.
  • Separators: comma, semicolon, tab or pipe. The file is UTF-8, with an optional byte-order mark so Excel shows accented and Urdu text correctly.

CSV to Excel

  • Quoted fields with commas, quotes and line breaks are read correctly. The separator is detected; you can change it if the preview looks wrong.
  • Text, leading zeros (such as 0012) and empty cells are kept exactly. Dates, phone numbers and IDs stay as text, so they are not changed.
  • Plain numbers like 42 or -3.25 can become numbers you can add up; or keep every cell as text.
  • Text that starts with =, +, - or @ is stored as text, never as a formula.
  • UTF-8 files are expected. Files saved in an older Western European encoding (Windows-1252) are read too, with a note to check the preview.

Older .xls workbooks, macro-enabled .xlsm and binary .xlsb files, and password-protected workbooks are not read. Save them as an Excel Workbook (.xlsx) without macros or a password first. One file can have up to 2 million cells; split larger files.
