How to use Excel to PDF

  1. 1Choose an Excel workbook (.xlsx).
  2. 2Pick all visible sheets or one sheet, and leave the page orientation on Automatic or choose Portrait or Landscape.
  3. 3Click Convert to PDF and wait while each sheet is read and laid out.
  4. 4Download the PDF and open it to check the pages before you share it.

Good to know

The converter reads the values in your sheets and lays them out as new tables on A4 pages. It does not use Microsoft Excel, so the PDF shows your data in a clean grid, not an exact copy of how the sheet looks in Excel.

Kept

  • The values in every cell, with empty rows and columns around the data left out
  • Formula results as Excel last saved them (formulas are never run)
  • Common number formats, such as 1,234.50, 25%, $1,250 or 1.2E+05
  • Dates and times, written as YYYY-MM-DD and HH:MM:SS
  • Sheet names as headings, with each sheet starting on a new page

Not kept

  • Fonts, font sizes, colours, cell fills, borders and column widths
  • Charts, pictures, shapes and comments
  • Excel’s page setup: print areas, page breaks, headers, footers and scaling
  • Merged cells (the value appears in the first cell of the range)

How a sheet is fitted to the page

  • Each sheet is fitted to the page width. On Automatic, a sheet that fits on upright pages at 8 pt or larger stays portrait; otherwise it is turned to landscape.
  • Text is between 9 and 6 pt. Long text in a cell wraps onto several lines.
  • A sheet still too wide at 6 pt is split into groups of columns, printed one after the other and labelled with their column letters. Column A is repeated in each group when it is narrow, so you can tell the rows apart.
  • The first row can be repeated at the top of every page, for headings.

Text uses the Roboto font, which covers Latin, Greek and Cyrillic letters. Text in other scripts, such as Arabic, Chinese or Hindi, does not display. Up to 100,000 cells with values can go into one PDF; for larger workbooks, convert one sheet at a time.

For a PDF that looks exactly like your sheet, use Save as PDF in Excel itself. The guide below shows how, including how to fit a sheet on one page.
